Letter to Members

May 15, 2020

TBAYS and North Storm Families:

We truly appreciate your continued patience while we have undertaken the complex process of formulating a plan relative to the cancellation of the Cherry Capital Cup and, as was announced earlier this week, the spring 2020 soccer season which has all been brought about by the COVID-19 pandemic. TBAYS is facing a funding deficit of approximately $100,000. We are still working on multiple avenues to curtail that deficit and continue what multiple generations have worked to create in our community. Although COVID-19 has brought an end to the season, our responsibilities continue on. We are still working to maintain Keystone, retain essential staff and make ever changing contingency plans for the summer & fall season. In addition, we have created virtual contact opportunities for our players and are supporting them the best we can during this difficult social & emotional time. Our goal continues to be the same; we want the club to withstand this pandemic so we can all get back to the game we love. The idea that future generations grow up on the Keystone fields is at the forefront of our decision-making.

Below you will find a link to a series of questions and options addressing fees that have been paid by you to TBAYS. These options include: 1) donating the remaining portion of your spring fees to TBAYS; 2) taking a credit to be used by any family member for services into the fall or spring; or, 3) a partial cash refund.

We ask that you complete the form linked below for each player in your family who was to have participated in the spring 2020 season. Please complete this process for each player in your family before May 30, 2020. If your response is not received by May 30th, it will be assumed you have chosen to donate the remaining portion of your spring fees to the TBAYS effort going forward.

For all of the support that the staff and others have received from our membership as we navigate these uncertain times, whether words of encouragement, offers of assistance, or simply understanding, all of the players, parents, family, referees, volunteers, staff, coaches and everyone else within our organization, say a big THANK YOU.

We ask for your continued patience as we work to reconcile the feedback you provide. For those of you who choose a refund, we will work to get those out to you in a timely manner. However, please keep in mind this work is happening remotely so it may take a little longer than it would under normal circumstances.

TBAYS and North Storm Families:

These are definitely uncertain times; in light of the difficulties brought on us all, the Board has focused on developing a few choices for our members regarding spring fees. We ask that you please consider the $100,000 funding deficit we face as a result of the current COVID-19 pandemic and the events beyond any of our control. Like many households and organizations, we have cut costs where we can but there is still staff to pay, grass to mow, fields to fertilize, and equipment to service.

Our goal is to ensure the survival of TBAYS; not only for the foreseeable future but the long term as well. The decisions we make today will have lasting impacts on our soccer community; the Board is confident our membership understands the situation and together we will find a way forward.

The safety of all of our family members is paramount to any decisions we make. After recent guidance from both Michigan State Youth Soccer Association and US Soccer and much consideration the Board has determined to cancel the remaining Spring 2020 season and all in person programing. TBAYS will continue to provide remote programing including New Move Monday, Stay at Home Work Out Videos, Team Zoom Meetings, the TBAYS North Storm YouTube Channel, Juggle Club, Foot Skills Friday, Team Homework, Facebook Live, and recently added Virtual Technical Tuesday. This is open to all members.

We are still not sure what opportunities TBAYS will be able to offer in the weeks and months to come and what the “new normal” will be. The Board will finalize pathways for membership regarding spring player fees this week and send out the information on May 15th. As a Board, we understand that each family is facing different circumstances. Our goal is to stay together, find a way to continue supporting our local soccer programing, and each other.

TBAYS and North Storm Families:

With the past weekend’s nice weather, with the grass greening and temperatures rising, we are all reminded of how we all wish we could all be outside enjoying the sport we love to play and watch. It is clear to all of us that, as much as we would like things to return to the way they were before this pandemic, this pandemic is going to impact our lives for many months and what will become the “new normal.”

The Staff and Board are considering various scenarios under which we may need to operate in light of all the unknowns regarding the current pandemic and how it will impact our future lives. The focus of the Board has been, in light of all the uncertainly, to develop a series of adaptable paths which will allow for the continuation of TBAYS for many seasons. No one could have ever imagined back when TBAYS was first formed in the spring of 1989, that we would be facing our current situation wherein TBAYS went from be financially sound to looking at a funding deficit approaching $100,000 as a result of one event, COVID-19.

Like many of our families and other organizations, we have reduced costs where possible, but realizing there are still staff who need to paid, grass to mow, fields to fertilize, and equipment to be serviced even though we may not be able to practice or play. Our objective is to ensure the existence of TBAYS; not only for the foreseeable future, but the long term as well. The very tough choices we are being forced to make today will have a profound impact on our soccer community; We are confident our membership assistance and understands we will find a way forward.

TBAYS is actively looking for help. Steps we have taken thus far include applying for an EIDL loan (SBA disaster loan) and receiving a loan under the Paycheck Protection Program. If members know of other potential grants, funding, sponsorships or avenues that would provide additional assistance please contact TBAYS staff or Board Members with any information. Whatever direction of the pandemic takes, our goal will be the same, to ensure that our TBAYS Family remains safe and our soccer programing remains supported not just in the short term, but long into the future. None of this will be easy, and the economic impact on our organization continues to unfold.  We will, as a family, find a way forward and a way to all be together again.

TBAYS and North Storm Families:

These are some unprecedented times and we are all dealing with situations we could not have anticipated. COVID-19 has changed our lives whether that be shopping, interacting with friends, travel and certainly youth sports. These changes are felt in communities across the nation and the reality is they come with a cost.

After much contemplation, and great disappointment, TBAYS Board of Directors recently canceled the 2020 Cherry Capital Cup. The spring and fall tournaments we host provide approximately 50% of the club’s revenue; the platforms we offer for each and every player in the club depend on these events. TBAYS does not receive federal, state or local funding; we rely on tournament and player fees in order to offer our membership multiple experiences like the TBAYS Juniors program, local recreational soccer leagues and a more competitive travel option in North Storm. Our programming benefits players and families from the entire Grand Traverse region; our philosophy has always been to provide a positive soccer environment at the lowest price point & cost possible.

It is important that we are upfront with our membership. We recognize that these times have hit each of our families both emotionally and financially. The loss of soccer this spring will have a devastating impact on our club. The Staff and Board are working diligently to develop a plan which will allow TBAYS to continue its mission in meeting obligations to membership, providing high level soccer programs for our children and maintaining quality facilities for all ages & levels.

We recognize that, for some, answers are not coming quickly enough. Please know we are working with the Michigan State Youth Soccer Association as well as US Soccer to forge a path back to training and playing. Our best option is to stay together and keep in mind that without the collective help of all our members there is no TBAYS organization. TBAYS and North Storm Families:

We hope that you and your family are safe, in good health, and doing well. These are times of unprecedented uncertainty about what we will or may be able to do in our daily lives.

So that you are aware, US Youth Soccer, one of our governing bodies, has an additional delay on the return to play until May 14, 2020. Earlier this week the Michigan State Youth Soccer Association also announced the cancellation of both the Director’s Academy and the Michigan State Premier Soccer Program (MSPSP) for the Spring 2020 season. It is uncertain if the current Stay at Home order and related Executive Orders will remain in place, be extended, and if so, for how long.

The Staff, Coaches, and Board of Directors of our organization are charged with delivering on TBAYS’ mission to provide “quality soccer programs and facilities for all ages and levels.” This charge is not only during good weather, good times, or when it’s easy, but also during these unprecedented times of living under the Coronavirus pandemic. Although we currently are unable to come together to practice and play the game we love, TBAYS is committed to providing and continuing to provide some level of programming to our families. This is why we have started New Move Monday, Stay at Home Work Out Videos, Team Zoom Meetings, the TBAYS North Storm YouTube Channel, Juggle Club, Foot Skills Friday, Team Homework, Facebook Live, and many other things yet to come. We know that our families have many questions and are looking for answers. Please be assured that TBAYS Staff and Board are continuing to meet remotely to discuss and study different options on how best to proceed in the weeks and months to come. We do not have all the answers, but please know that we are working on getting answers to your questions. We are all committed to ensuring that TBAYS can continue to provide quality soccer programs and facilities for all ages and at all levels both during the current crisis and for many, many years to come.
